1. CANCELLATIONS

30-DAY CANCELLATION – 6 DAYS AFTER TRIP IS CONFIRMED

OPERATING, TICKETS, AND TRAIN EXPENSES

  • A cancellation request received 30 days prior to your trip or 05 days or more after confirmation has been sent will be subject to an operating expense penalty of US$$ 45.00 per person.
  • There is a full penalty for entry to Wayna Picchu, Machu Picchu Mountain, and Machu Picchu, so there are no refunds for these expenses. These are policies established by the Ministry of Culture.
  • Train tickets also have an additional penalty of 15% of the original ticket value; these are policies established by INCA RAIL and PERU RAIL.
  • Hotel reservations are subject to the hotel's own policies.

CANCELLATION LESS THAN 30 DAYS IN ADVANCE – 4 DAYS AFTER TRIP IS CONFIRMED

OPERATING, TICKETS, AND TRAIN EXPENSES
  • If a cancellation request is received less than 30 days prior to your trip or 4 days after confirmation is sent, it will be subject to an operating expense penalty of US$$ 45.00 per person.
  • Entrance fees to Wayna Picchu, Machupichu Mountain, and Machu Picchu are fully penalized, so these expenses cannot be refunded. These are policies established by the Ministry of Culture.
  • Train tickets also have an additional penalty of 50% of the original ticket price. These are policies established by INCA RAIL and PERU RAIL.
  • Hotel reservations are subject to the hotel's own policies.

LAST MINUTE CANCELLATION – 72 HOURS

  • If a cancellation request is received just 72 hours before your trip, you will incur a 100% penalty.

SPECIAL CASE OF THE INCA TRAIL

  • In the event of cancellation of only the Inca Trail service, ONCE THE SERVICE IS CONFIRMED, no refund will be granted for this service, given the characteristics of this service.

SPECIAL CASES OUTSIDE OUR CONTROL

  • In the event of a cancellation beyond our control, such as natural disasters, protests, strikes, emergency decrees, or any event that makes a scheduled tour impossible, a penalty of 50% of the agreed amount will apply.

2. RETURNS

The refund process also depends on third parties (Hotels – Trains – Income – Flights)

  • In the case of TRAINS, the procedure must be completed in person, and the supplier companies have approximately 20 days to process the claim.
  • In the case of Income, only changes are allowed, but if a special situation arises, this process takes approximately 15 days.
  • In the case of Hotels and Flights, we must comply with the policies of each company.
  • Refunds will be made by the same means as the original payment was received.
  • For credit cards and bank transfers, the processing time is 15 days.

3. DATE CHANGES

DATE CHANGE LESS THAN 30 DAYS AHEAD – 3 DAYS AFTER TRIP IS CONFIRMED
OPERATING, TICKETS, AND TRAIN EXPENSES

  • If a cancellation request is received 30 days prior to your trip or 05 days or more after confirmation is sent, it will be subject to an operating expense penalty of US$$ 00.00 per person.

SPECIAL CASE OF THE INCA TRAIL

  • In the event of a change of date for the Inca Trail service, you may do so on an AVAILABILITY BASIS with a penalty of US$$ 120.00 per person.

4. PRICES AND RATES

  • All tour prices and rates are expressed in US dollars.
  • Our prices may vary during holidays: Easter, Christmas, New Year (such variation will be informed in advance by a company representative)
  • Tour package prices and rates are per person, based on double occupancy in a standard room at all hotels and include services, transfers, indicated excursions, specialized guides and entrance tickets (unless otherwise specified).
  • Prices and rates do not include extra charges such as tips, airport taxes, airfare, excess baggage, or any other services not specified in the program.
  • If the personal information submitted by the client for booking is incorrect, or if any changes or updates to passport data arise, the agency must be notified immediately by email. We will immediately update the data. These changes incur a data change penalty, which is established by the provider companies. These costs will be borne by the client.

5. VISA, DOCUMENTATION, PERMITS AND INSURANCE

  • All clients at the time of contracting the services of HIGHLANDING TRAVEL , undertake to acquire at their own expense the valid documents and permits necessary to carry out the activities of the itinerary normally, and must also carry during the excursions the documents whose details they sent at the time of booking.
  • All clients, when contracting the company's services, agree to allow a copy of their personal documents (Passport, ID card, DNI, etc.) to be taken by the company's representative (The company will keep this information confidential and will use it only for accounting and administrative procedures).
  • According to current Peruvian law, a tourist cannot stay in the country for more than 60 days according to their TAM card. Therefore, if the foreign client traveling is in Peru for more than 60 days, they must pay an additional VAT of 18% on the total amount of the tour.

6. OF THE ITINERARIES

  • Itineraries are planned with great care, although, for operational reasons, it may be necessary to change the order of activities, or the specified route, and while such cases may be occasional, the itinerary in general should only be assumed as a basic guide.
  • The company reserves the right to make changes to the order of excursions or trips without prior notice due to weather conditions, river levels, arrival or departure times of planes, buses, or trains, or for any other relevant reason. These changes will ensure your safety and the best possible trip.
  • In the event that activities on the itinerary are subject to changes, rescheduled at the last minute, or canceled due to flight delays, social unrest, bad weather, roadblocks, or any other inconvenience caused by third parties, the company is not responsible for refunding customers.

7. OF RESERVATIONS

  • To make a reservation, the company requires payment of 50% of the total tour by the client using our authorized payment methods and sent by the sales agent. The other 50% of your tour must be paid in cash on the first day of your arrival in the city of Cusco in US dollars to the staff assisting you.
  • To confirm your reservation, we will need the following information for each passenger traveling: Full name, passport number, nationality, age, and gender. It is recommended that you provide information about any allergies, medical conditions, passenger characteristics, food preferences, etc.
  • Once the prepayment has been made, our sales agent will send an email confirming the reservation for the tour package chosen by the client. This email serves as a guarantee of their reservation. After receiving the confirmation, the client must review the email in detail and respond.
  • If your reservation includes overnight stays, hotel confirmation is subject to availability. If there is no space at the hotel specified in the confirmation email, the customer will be given another hotel of a similar category and price.
  • The company reserves the right to accept last minute reservations (24 hours before the client's arrival at the destination), in this case the company will expressly indicate the special conditions of said reservation, which will include, if applicable, special schedules, these conditions must be mutually agreed upon with the client and will be evidenced by email.

8. DATA PRIVACY POLICY

Jurisdiction and applicable law

  • These terms and conditions are governed without exception and in all respects by Peruvian law and will be interpreted accordingly.
